Almaden Cycle Touring Club Academy
Organization
- Chancellor: Supervises the Academy. Although the Chancellor is always responsible for all aspects of the Academy, many of these tasks can be delegated to staff for execution.
- Report to the ACTC Board of Directors
- Report to the ACTC at general meetings
- Plan the Academy Schedule
- Call staff planning meetings.
- Recruit and organize the "Executive” staff.
- Manage the Academy budget; approve expenses.
- Dean of Registration (Registrar)
- Primary contact for perspective students and students prior to the start of the academy
- Assemble Day 1 information packets
- Welcome letter when student is confirmed (typically pays, but at Registrar’s discretion).
- Keeps list of students and perspective students which includes
- name, address, email address, phone number, which module(s), and payment
- Record attendance of students and staff.
- Create graduation certificates.
- Maintain history of Academy enrollment
- Primary contact for perspective students and students prior to the start of the academy
- Dean of Students
- Scheduling staff
- Prepare publicity for club newsletter, club website and general meetings.
- Assist Dean of Instruction to prepare ride route sheets and lesson plans.
- In coordination with Lead Instructor and Dean of Instruction, assign lesson instructors.
- Help Chancellor, Registrar and Dean of Instructions plan the schedule for the Academy.

- Plan and provide route sheets and lesson plans (curriculum).
- Before the first class, lesson plans and route sheets for all meetings in module should be updated and provided to Lead Instructor, Chancellor and Dean of Students and then to the entire staff, so staff can review lesson plans and check and become familiar with the routes.
- Immediately after each class, consult with the Lead Instructor for any needed changes in the coming class. Make the necessary changes and distribute any updated documents.
- Arrange for the distribution to students of curriculum and route sheets at each class.
- In coordination with Lead Instructor and Dean of Students, assign lesson instructors.
- Help Chancellor, Registrar and Dean of Students to plan the schedule for the Academy.
- Plan and provide route sheets and lesson plans (curriculum).
- Lead Instructor: one for each (four)-week module. If a course is large enough to break into multiple groups of students, an assisting Lead Instructor will be named to supervise each group, under the direction of the Lead Instructor. Typically, the Assistant Lead Instructor.
- Manage the (four)-week module (for example, Introduction to Bike Riding). That is, they oversee the students and instructors in following the Academy Curriculum. They either make the presentations, or in consultation with the Deans, arrange for another instructor to make the presentations.
- Should be able to attend all module classes, so there is continuity of instruction.
- Have good knowledge and understanding of the entire Academy curriculum.
- Have previous experience on the Academy faculty.
- Keep Registrar informed of attendance
- Weekly Email report to students and staff reviewing previous meeting and outlining coming meeting. Contains such announcements as reminder of starting location and lunch plans for ride.
- Decide on Rain/Heat Cancellation and take responsibility for informing students how to determine when Rides are cancelled.
- Assistant Lead Instructor: Staff training to be a Lead Instructor
- Should be able to attend all module classes, so there is continuity of instruction.
- Have previous experience on the Academy faculty.
- Duties as assigned by the Lead Instructor.
- Assistant Instructor: People with cycling and Academy experience who wish to participate in the Academy. Also, people with limited cycling experience (typically recent Academy graduates) OR extensive riding experience but no experience with the Academy.
- Teach lessons in which they have expertise or knowledge.
- Assist Lead Instructors as needed.
- May act as lead, sweep or roving rider at direction of Lead Instructor or designee
- d. Encourage and correct students as needed.
- Special Guest Speaker: Experts in a specialized field pertaining to cycling who present instruction on that field. Sometimes joins the ride as a guest.

One of the Deans or the Chancellor is to be on every ride. Their tasks are:
- Provide support to the Lead Instructor when needed. Typically available to handle difficulties with student or staff member who will not co-operate with the Lead Instructor. Normally attending Deans/Chancellor follows directions of Lead Instructor like any other staff member.
- Provide emergency replacement for Lead Instructor when Assistant Lead Instructor does not have previous Lead Instructor experience. (This guarantees a qualified Lead Instructor at every ride.)
